Minutes of the Board of Elders - April 13, 2016

May 18, 2016

A regular meeting of the elders of Harris Creek Baptist Church was called to order on April 13, 2016, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were T.A. Ateek, Blair Browning, Brady Herbert, Braid Lail, Mark Welstead, and Jim Underwood. Also in attendance were Drew Greenway, Rebecca Harris, Kelly Merritt, Jon Green, and Joey White.

The minutes from the March 2, 2016 elder meeting were approved.

Joey White provided a very positive financial review for the month of March, discussing both regular gifts as well as contributions toward Our Turn. Not only have gifts been strong but the staff has done a good job managing expenses this year. Joey indicated that quarterly statements had been sent to the congregation regarding Our Turn contributions.

Joey White summarized our lending options from two different financial institutions. After a period of discussion, the elders unanimously chose a lender to provide financing for the expansion project.

Joey White also discussed individuals who, due to their expertise, could provide valuable assistance in making decisions regarding the expansion project. The elders approved Stacey Smith, Marshall Stewman, and JD Dethrow to participate on this construction team. As the need arises, additional individuals may be included on this project moving forward.

Brady Herbert provided an update on filling open staff positions. He was optimistic about one particular candidate for the Community Pastor role. A final meeting with this candidate was being scheduled.

The needs of the body were discussed and the elders closed in prayer.

Minutes of the Board of Elders - February 10, 2016

March 14, 2016

A regular meeting of the elders of Harris Creek Baptist Church was called to order on February 10, 2016, at 6:30 a.m. P.Michael Smith, Chair, presided. A quorum was present. In attendance were Timothy Ateek, Blair Browning, Brady Herbert, Chris Holmes, Braid Lail, P. Michael Smith, Mark Welstead, and Jim Underwood. Also in attendance were Drew Greenway and Joey White.

The minutes of the January 13, 2016 elder meeting were reviewed and approved.

Joey White reviewed the January financials for the church. This was a very positive review with indications of great generosity by the church body getting us off to an unprecedented start for the new year.

Brady updated the group on the staff search process, reviewing several possible candidates for each open position.

Joey White led a discussion concerning expansion planning with specific information on the status of our discussions with possible lenders, the retaining of certain engineers, and other aspects of the planning for the new facilities.

The needs of the body were discussed and the meeting closed in prayer.

A strategic meeting of the elders of Harris Creek Baptist Church was called to order on February 22, 2016, at 6:30 p.m. P.Michael Smith, Chair, presided. A quorum was present. In attendance were Blair Browning, Brady Herbert, Braid Lail, P. Michael Smith, and Jim Underwood. Also in attendance was Joey White.

Brady led the elders in a time of prayer, reflection and communion. and reflection.

Brady led a discussion using the article, "5 Strategy Questions Every Leader Should Make Time For," as a launching pad for a time of self-evaluation and looking forward in our long-term planning.

Joey White and Brady Herbert facilitated a conversation about planning on issues related to (a) discipleship strategies, (b) bylaw revisions, (c) staffing and organizational options, and (d) expansion efforts at the Sunwest campus.

Joey White provided a brief update on matters related to physical expansion at Sunwest.

Jim Underwood closed the meeting in prayer.

Minutes of the Board of Elders - December 9, 2015

February 10, 2016

A special meeting of the elders of Harris Creek Baptist Church was called to order on December 9, 2015, at 6:30 a.m. P.Michael Smith, Chair, presided. A quorum was present. In attendance were Brady Herbert, P. Michael Smith, Brad Lail, Stefan LeRow, Graham Cook, Timothy Ateek, and Jim Underwood.

Graham Cook opened the meeting with parting thoughts on being an elder over the past 5 years.

The minutes of the December 2nd, 2015, elder meeting were reviewed and approved.

The elder board interviewed Blair Browning as a potential elder candidate to rotate on the board starting in 2016. The board agreed that pending congregational feedback Blair is a good and qualified fit for this season in Harris Creek.

Brady Herbert led a discussion on the next steps in the elder selection process.

Brady Herbert updated the board on the Our Turn/Big Give. Overall, there was a positive response with an increase in giving units. These will be reported to the congregation on December 20.

The needs of the body were discussed and the meeting closed in prayer.

The minutes of the December 9th, 2015, elder meeting were reviewed and approved.

Officers for 2016 were elected by affirmation, as follows: P. Michael Smith (Chair), Braid Lail (Vice Chair), Jim Underwood (Secretary).

Joey White led a discussion on the 2016 budget which was approved unanimously by the elders and will be submitted to the congregation for final approval.

Brady Herbert led a discussion regarding upcoming elder meeting dates.

The needs of the body were discussed and the meeting closed in prayer.

2016 Lent Devotional Guide

THE PURPOSE OF THE DEVOTIONAL
Harris Creek joins the Christian tradition throughout the ages by participating in Lent while also adapting some of these practices to fit our context and culture. Every year, our church chooses a particular book of the Bible to read together or a particular spiritual discipline such as prayer to guide our attention through the season. The intentional "taking on" of a particular focus is the acceptance of an invitation to explore new rhythms and routines in life, habits that reorient our perspective on life, on God, and how it all comes together.

This year, we hope it does all come together. That is, Ash Wednesday, the season of Lent, the Scripture we study, the worship we encounter, the relationships we share, and the needs deep within our city and our souls—what if they all came together over the next 7 weeks?

  • Ash Wednesday is part of the family tradition for Christians to confess our sins and welcome the season of Lent.
  • The healthy relationships we cherish most are with those people who tend to welcome us home, like we're part of the family.
  • Scripture passages like Galatians 4:6 tell us that we are "now part of God's family" (The Voice), adopted as heirs—sons and daughters—through Jesus Christ, the Son of God.
  • In the last statistical report, there were 277 children in the foster care system from McLennan County—children desperately wanting to be welcomed in as part of the family.

Between Ash Wednesday and Easter Sunday, we encourage you to be deliberately focused on the theme of becoming a part of the family, and we have provided a devotional guide—an online PDF is on our website and some print copies will be available at each campus—to serve as a daily reminder to you of this theme. Each day will offer a passage of Scripture for reflection, a quote for meditation, an exercise for your hands, a prayer prompt to follow, or a specific action step recommended. While it may be the case that some might need awareness and education about how we should share compassion for the needs of our city, it is more likely that we know exactly what needs to be done and we simply need to activate our faith with our mind, heart, soul, and our humble hands and feet. Our dream is that as the Harris Creek family participates in Lent together through this devotional exercise over the next 46 days, we will accomplish these goals:

  • 46 people will sign up to serve as court appointed special advocates
  • 46 volunteers will become certified baby sitters or respite care providers for foster families
  • 46 kids will be welcomed into foster homes in McLennan County
  • 46 Easter baskets will be prepared for foster families in the Waco area
  • 46 rolling suitcases stuffed with clean clothes and toiletries will be donated to a local foster care agency

The final numbers are not the driving factor; the numbers—wherever we end up after Lent—signify stories of transformation for God's family! Come, and be a part of the family!
