Minutes of the Board of Elders - July 13, 2016

January 12, 2017

A regular meeting of the elders of Harris Creek Baptist Church was called to order on July 13, 2016, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were Blair Browning, Chris Holmes, Brad Lail, Mark Welstead, and Jim Underwood. Also in attendance were Jon Green, Drew Greenway, Rebecca Harris, and Joey White.

P. Michael Smith opened the meeting in prayer.

The minutes from the June elder meetings were reviewed and approved.

Drew Greenway provided a review of his sabbatical from earlier this summer. Drew spent time attending other churches and a monastery during trips to Arkansas, Colorado, and California. Drew reflected on significant moments of silence, conversations with strangers he encountered, busy times with family, and the "power of the other"—God speaking through others. Drew expressed his thankfulness to the church for providing this time for renewal.

Joey White provided a very favorable recap on the church financials for the prior month with both giving and expenses being favorable relative to the budget.

Joey White discussed the time frame for significant next steps in the expansion process, including the completion of construction documents, the formal funding commitment, and the final bidding by subcontractors. K4 is doing a wonderful job trying to reduce costs on every aspect of the construction.

Drew Greenway and Rebecca Harris kicked off a spirited discussion concerning options for worship times in the Fall which will likely remain unchanged from the current schedule.

The needs of the body were discussed and Blair Browning led the elders in a closing prayer.

Minutes of the Board of Elders - August 10, 2016

January 12, 2017

A regular meeting of the elders of Harris Creek Baptist Church was called to order on August 10, 2016, at 6:30 a.m. Jim Underwood, presided. A quorum was present. In attendance were P Michael Smith, Chair, Blair Browning, Brad Lail, Brady Herbert, Chris Holmes, and Mark Welstead. Trent Horner was also in attendance. Drew Greenway, Rebecca Harris, and Derek Davidson joined for portions of the meeting.

Jim Underwood opened the meeting in prayer.

The minutes from the prior elder meeting were reviewed and approved.

Brady Herbert led a brief review of the July financial statements which were very positive, both in terms of offerings (over budget) and expenses (below budget). The elders are so grateful for the faithfulness of our covenant members.

Trent Horner presented two local missions opportunities: (1) a $10,000 donation to Jesus Said Love to assist in offsetting some of its costs in renovating office space where it will offer classes (for training, fitness, yoga, cooking and nutrition), provide space for employees, and provide retail space for women to sell merchandise they have created; and (2) a $20,0000 donation to Mission Waco to offset some of its start-up expenses related to completing its Jubilee Food Market to address a current "food desert" in North Waco (expenses related to build out and initial stocking of the store). Harris Creek has existing restricted funds that are to be allocated solely toward such non-budgeted mission projects such as these. Both Trent and Bethany Stephens were enthusiastic about these two particular opportunities to further our partnership with these two long-term ministry partners of the church. The elders elders approved the $10,000 donation. The other proposed donation will be considered on a later date.

Rebecca Harris alerted the group to the desire by numerous other churches to use certain artwork she has prepared in conjunction with various sermon series at Harris Creek. The elders authorized her to set up a mechanism whereby formal permission can be bestowed upon such churches. If any funds from such permission exceed $1,000, the elders will revisit with Rebecca whether any additional plans need to be made for allocation of such revenues.

Brady Herbert briefly alerted the group to some upcoming events, including the need to reschedule the next Strategic Elder Meeting until the evening of August 30th.

Minutes of the Board of Elders - September 14, 2016

A regular meeting of the elders of Harris Creek Baptist Church was called to order on September 14, 2016, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were Blair Browning, Brady Herbert, Chris Holmes, Brad Lail, and Jim Underwood. Also in attendance were Joey White, Trent Horner, Rebecca Harris, and Jon Green.

P. Michael Smith opened the meeting in prayer.

The minutes from the August 10th meeting were reviewed and approved.

Joey White led a review of the August financials for the Church. The finances have continued to be very positive with higher than budgeted receipts. The expenses for August were a bit higher than budgeted but mostly due to certain timing issues. The net result was favorable.

Trent Horner sought approval for a $25,000 gift to help with initial start-up costs for Mission Waco's new grocery. These funds came from funds set aside for missions but not yet designated for any other particular usage. The elders continue to be enthusiastic regarding our partnership with Mission Waco and unanimously approved this request.

Brad Lail led a discussion concerning the identification of possible new elders. These discussions will continue and the elders would appreciate the Church's prayers for wisdom on such matters.

Brady Herbert provided a preview of upcoming events within the Church.

The needs of the body were discussed and the elders closed in prayer.

Minutes of the Board of Elders - October 12, 2016

A regular meeting of the elders of Harris Creek Baptist Church was called to order October 12, 2016, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were Blair Browning, Brady Herbert, Brad Lail, Mark Welstead and Jim Underwood. Also in attendance were Drew Greenway and Jon Green.

P. Michael Smith opened the meeting in prayer.

The minutes from the September 14th meeting were reviewed and approved.

Brady Herbert did a brief overview of the September financials for the Church as well as recapping the Our Turn campaign. He conveyed his thoughts that he planned to say to the Body in the quarterly update noting the challenges and necessities of both meeting the budget and exceeding the budget in order to sufficiently fund Our Turn. The Elders are very grateful for the continued generosity and faithfulness of the congregation and how it always rises to meet challenges.

Jim Underwood offered a summary of the recent special bylaw drafting meeting. We are hopeful to have a proposed new set of bylaws for the congregation soon.

Brady Herbert provided a status report on efforts to identify a possible new Sunwest Campus pastor.

Brad Lail discussed the timing for possible new elder interviews.

The needs of the body were discussed and the elders closed in prayer.

Minutes of the Board of Elders - November 8, 2016

January 12, 2017

A regular meeting of the elders of Harris Creek Baptist Church was called to order November 9, 2016, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were Blair Browning, Brady Herbert, Brad Lail, Mark Welstead and Chris Holmes. Also in attendance were Drew Greenway, Rebecca Harris, Trent Horner, Joey White and Jon Green.

P. Michael Smith opened the meeting in prayer.

The minutes from the October 12th meeting were reviewed and approved.

Joey White did a brief overview of the October financials for the Church as well as recapping a recent conversation between he and the point person from Bank of the West – our lending bank for Our Turn. The elders will meet with Bank of the West representatives next week in order to finalize plans on what the closing will look like with regard to financial reserves, building contingencies and debt-to-equity ratio, which has been somewhat of a moving target. While the prudence has been necessary, we are all certainly antsy to "show" the beginnings of the build, though there has been immense work done thus far in the planning of the build. We discussed our hope for a strong close to the year in giving and how that will propel us to a strong launch into the build and into the new year. The Elders remain very grateful for the continued generosity and faithfulness of the congregation.

Brad Lail led a discussion on Kevin Jackson, who the elders have interviewed as a possible addition to the board replacing the vacant spot from Timothy Ateek. The elders have prayerfully considered Kevin and thoughtfully assessed how he could be a valuable asset to the team. We have decided to bring his name to the congregation for a final vetting.

Joey White and Brady Herbert facilitated a discussion with Dave Steell and Andy Malcolm (who were not present prior to this point), executive staff and the elders regarding church polity, leadership/elder teams and the ways in which our elder board serves staff and the church. It was a great discussion comparing and contrasting and learning from one another and Harris Creek is thankful for this partnership in the UK that will continue to grow.
