Minutes of the Board of Elders - January 13, 2016

February 10, 2016

A regular meeting of the elders of Harris Creek Baptist Church was called to order on January 13, 2016, at 6:30 a.m. P.Michael Smith, Chair, presided. A quorum was present. In attendance were Timothy Ateek, Blair Browning, Graham Cook, Brady Herbert, Chris Holmes, Braid Lail, P. Michael Smith, Mark Welstead, and Jim Underwood. Also in attendance was Joey White.

The minutes of the December 9th, 2015, elder meeting were reviewed and approved.

Officers for 2016 were elected by affirmation, as follows: P. Michael Smith (Chair), Braid Lail (Vice Chair), Jim Underwood (Secretary).

Joey White led a discussion on the 2016 budget which was approved unanimously by the elders and will be submitted to the congregation for final approval.

Brady Herbert led a discussion regarding upcoming elder meeting dates.

The needs of the body were discussed and the meeting closed in prayer.

2016 Lent Devotional Guide

THE PURPOSE OF THE DEVOTIONAL
Harris Creek joins the Christian tradition throughout the ages by participating in Lent while also adapting some of these practices to fit our context and culture. Every year, our church chooses a particular book of the Bible to read together or a particular spiritual discipline such as prayer to guide our attention through the season. The intentional "taking on" of a particular focus is the acceptance of an invitation to explore new rhythms and routines in life, habits that reorient our perspective on life, on God, and how it all comes together.

This year, we hope it does all come together. That is, Ash Wednesday, the season of Lent, the Scripture we study, the worship we encounter, the relationships we share, and the needs deep within our city and our souls—what if they all came together over the next 7 weeks?

  • Ash Wednesday is part of the family tradition for Christians to confess our sins and welcome the season of Lent.
  • The healthy relationships we cherish most are with those people who tend to welcome us home, like we're part of the family.
  • Scripture passages like Galatians 4:6 tell us that we are "now part of God's family" (The Voice), adopted as heirs—sons and daughters—through Jesus Christ, the Son of God.
  • In the last statistical report, there were 277 children in the foster care system from McLennan County—children desperately wanting to be welcomed in as part of the family.

Between Ash Wednesday and Easter Sunday, we encourage you to be deliberately focused on the theme of becoming a part of the family, and we have provided a devotional guide—an online PDF is on our website and some print copies will be available at each campus—to serve as a daily reminder to you of this theme. Each day will offer a passage of Scripture for reflection, a quote for meditation, an exercise for your hands, a prayer prompt to follow, or a specific action step recommended. While it may be the case that some might need awareness and education about how we should share compassion for the needs of our city, it is more likely that we know exactly what needs to be done and we simply need to activate our faith with our mind, heart, soul, and our humble hands and feet. Our dream is that as the Harris Creek family participates in Lent together through this devotional exercise over the next 46 days, we will accomplish these goals:

  • 46 people will sign up to serve as court appointed special advocates
  • 46 volunteers will become certified baby sitters or respite care providers for foster families
  • 46 kids will be welcomed into foster homes in McLennan County
  • 46 Easter baskets will be prepared for foster families in the Waco area
  • 46 rolling suitcases stuffed with clean clothes and toiletries will be donated to a local foster care agency

The final numbers are not the driving factor; the numbers—wherever we end up after Lent—signify stories of transformation for God's family! Come, and be a part of the family!

Minutes of the Board of Elders - August 13, 2015

December 14, 2015

A regularly scheduled meeting of the elders of Harris Creek Baptist Church was called to order on August 13, 2015, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were Brady Herbert, P. Michael Smith, Brad Lail (by phone), Stefan LeRow, Mark Welstead, and Timothy Ateek.

The minutes of the July 8, 2015, elder meeting were reviewed and approved.

Brad Lail presented the July 2015 financials.

Brady Herbert gave an update on personnel staffing and reviewed job descriptions for director of ministry development, life group director and community pastor.

Brady Herbert gave an update on expansion plans. We discussed the three parts of expansion: design, building & fund raising.

Design - GFF (architect) contract for design services is being reviewed by Bo Routh prior to execution.
Building – GFF working to optimize office vs. sanctuary to fit within budget
Fundraising – Generis on location for key upcoming events
Elder/staff dinner
Key donor event

Brady Herbert gave a recap of his sabbatical time.

The needs of the body were discussed and the meeting closed in prayer.

December 14, 2015

A special meeting of the elders of Harris Creek Baptist Church was called to order on September 1, 2015, at 6:30 p.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were P. Michael Smith, Brady Herbert, Graham Cook, Brad Lail, Stefan Lerow, Timothy Ateek, and Jim Underwood. In addition, executive pastor Joey White was in attendance.

The minutes of the August 13, 2015, elder meeting were reviewed and approved.

Joey White led the board in a teleconference with Stephen Pickard of Good Fulton & Farrell (GFF) Architects to review their proposal for services.

Brady Herbert talked the board through next steps in the expansion process.

Joey White recapped a walk-through of a local ministry facility.

Brady Herbert talked through the devotional schedule for the remainder of the calendar year.

The needs of the body were discussed and the meeting closed in prayer.

Brady Herbert discussed a proposed ministry opportunity in Beverly Hills. The board talked through associated details and timing.

Brady Herbert gave a status update on GFF for the expansion.

Jim Underwood presented the most recent version of the Bylaw Revision and pointed out remaining discussion items.

Brady Herbert updated the board on different staffing recruitment and potential canditates.

December 14, 2015

A special meeting of the elders of Harris Creek Baptist Church was called to order on September 29, 2015, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were P. Michael Smith, Brady Herbert, Graham Cook, Brad Lail, Stefan Lerow, Timothy Ateek, and Mark Welstead. In addition staff memebers Joey White, Drew Greenway, and Rebecca Harris were in attendance.

The minutes of the September 9, 2015, elder meeting were reviewed and approved.

Drew Greenway detailed logistics associated with our Baptism Sunday and the board agreed to move forward.

Joey White presented some preliminary floor plans from GFF associated with the Sunwest expansion.

Brady Herbert updated the board on the initial "Our Turn" financial committments.

Brady Herbert debriefed the board on the current status and logistics associated with partnering on a local ministry opportunity.

Brady Herbert talked through a local media publication opportunity.

The needs of the body were discussed and the meeting closed in prayer.

December 14, 2015

A regularly scheduled meeting of the elders of Harris Creek Baptist Church was called to order on August 13, 2015, at 6:30 a.m. P.Michael Smith, Chair, presided. A quorum was present. In attendance were Brady Herbert, P. Michael Smith, Brad Lail, Stefan LeRow, Mark Welstead, and Jim Underwood. Also in attendance where HCBC executive staff – Joey White, Drew Greenway and Rebecca Harris.

The minutes of the September 9th, 2015, elder meeting were reviewed and approved.

Joey White presented the September 2015 financials. In addition, he summarized Our Turn campaign expenses to date.

Brady Herbert gave an update on personnel staffing and reviewed several candidates being considered for hire.

P.Michael Smith gave a rousing charge (that included a trips right/bubble screen analogy) to each of the elders as we prepare to kick-off the Our Turn campaign.

Joey White updated the status of the Beverly Hills Baptist Church offer and is awaiting a response from their leadership.

Brady previewed content for future meetings including: bylaw revisions and new elder selection.

The needs of the body were discussed and the meeting closed in prayer.

A regularly scheduled meeting of the elders of Harris Creek Baptist Church was called to order on November 11, 2015, at 6:30 a.m. P.Michael Smith, Chair, presided. A quorum was present. In attendance were Brady Herbert, P. Michael Smith, Brad Lail, Stefan LeRow, Graham Cook, Timothy Ateek, and Jim Underwood. Also in attendance was HCBC executive pastor Joey White.

The minutes of the October 14th, 2015, elder meeting were reviewed and approved.

Joey White presented the October 2015 financials.

Joey White gave an overview of the 2016 budget—including increases and approach. The conversation will be continued at the regularly scheduled December 2 meeting.

Brad Lail directed the conversation regarding the upcoming elder selection process—including upcoming dates and approaching potential candidates.

Brady Herbert filled the board in on the progress of "Our Turn".

The needs of the body were discussed and the meeting closed in prayer.
