A regular meeting of the elders of Harris Creek Baptist Church was called to order November 9, 2016, at 6:30 a.m. P. Michael Smith, Chair, presided. A quorum was present. In attendance were Blair Browning, Brady Herbert, Brad Lail, Mark Welstead and Chris Holmes. Also in attendance were Drew Greenway, Rebecca Harris, Trent Horner, Joey White and Jon Green.
P. Michael Smith opened the meeting in prayer.
The minutes from the October 12th meeting were reviewed and approved.
Joey White did a brief overview of the October financials for the Church as well as recapping a recent conversation between he and the point person from Bank of the West – our lending bank for Our Turn. The elders will meet with Bank of the West representatives next week in order to finalize plans on what the closing will look like with regard to financial reserves, building contingencies and debt-to-equity ratio, which has been somewhat of a moving target. While the prudence has been necessary, we are all certainly antsy to "show" the beginnings of the build, though there has been immense work done thus far in the planning of the build. We discussed our hope for a strong close to the year in giving and how that will propel us to a strong launch into the build and into the new year. The Elders remain very grateful for the continued generosity and faithfulness of the congregation.
Brad Lail led a discussion on Kevin Jackson, who the elders have interviewed as a possible addition to the board replacing the vacant spot from Timothy Ateek. The elders have prayerfully considered Kevin and thoughtfully assessed how he could be a valuable asset to the team. We have decided to bring his name to the congregation for a final vetting.
Joey White and Brady Herbert facilitated a discussion with Dave Steell and Andy Malcolm (who were not present prior to this point), executive staff and the elders regarding church polity, leadership/elder teams and the ways in which our elder board serves staff and the church. It was a great discussion comparing and contrasting and learning from one another and Harris Creek is thankful for this partnership in the UK that will continue to grow.
The needs of the body were discussed and Brady Herbert closed in prayer.

A regular meeting of the elders of Harris Creek Baptist Church was called to order on March 2, 2016, at 6:30 a.m. Brad Lail, Vice Chair, presided. A quorum was present. In attendance were Blair Browning, Brady Herbert, Braid Lail, Mark Welstead, Timothy Ateek, Chris Holmes, and Jim Underwood. Also in attendance were Drew Greenway, Rebecca Harris, Jon Green, and Joey White.

Joey White provided a financial review for the month of February discussing both regular gifts as well as contributions toward Our Turn. Joey also explained that quarterly statements would start going out to those who made commitments toward the Our Turn campaign to help people monitor their own faithfulness.
Joey White summarized and reviewed term sheets from different prospective lenders for financing of the Sunwest expansion project. Further meetings between these lenders and the elder board will be scheduled so that a final decision can be made on a lender and the preferred loan vehicle.
Joey White also discussed a construction timeline giving both an update on the current status of various preliminary efforts and forecasting additional items that will need to be addressed so that the project can move forward. Joey also reported that he had executed the contract with the architect for the next phase of design and planning. (The elders had previously authorized Joey to enter into any such contracts necessary for this project on behalf of Harris Creek.)
Brady Herbert discussed efforts to schedule an off-site meeting of the elders at another church in Dallas later this spring. Additional dates will be considered.
Looking further ahead in the calendar, Brady Herbert discussed possible options for Harris Creek with Christmas occurring on a Sunday this year. The last time this fell on a Sunday, we offered Christmas Eve services and encouraged church members to do special family events on Christmas morning or to join others in worship and service at the Church Under the Bridge. We did not have church services in our facilities on that Sunday morning. Similar plans are being made for this year.
Brady Herbert led a "State of the Church" discussion regarding miscellaneous matters in the life of Harris Creek, including by way of example, issues regarding the time of transition in which our church body finds itself (as outlined during the Imagine Banquet), staffing needs, etc.

Ateek, Blair Browning, Brady Herbert, Braid Lail, Mark Welstead, and Jim Underwood. Also in attendance were Drew Greenway, Rebecca Harris, Kelly Merritt, Jon Green, and Joey White.
The minutes from the March 2, 2016 elder meeting were approved.
Joey White provided a very positive financial review for the month of March, discussing both regular gifts as well as contributions toward Our Turn. Not only have gifts been strong but the staff has done a good job managing expenses this year. Joey indicated that quarterly statements had been sent to the congregation regarding Our Turn contributions.
Joey White summarized our lending options from two different financial institutions. After a period of discussion, the elders unanimously chose a lender to provide financing for the expansion project.
Joey White also discussed individuals who, due to their expertise, could provide valuable assistance in making decisions regarding the expansion project. The elders approved Stacey Smith, Marshall Stewman, and JD Dethrow to participate on this construction team. As the need arises, additional individuals may be included on this project moving forward.
Brady Herbert provided an update on filling open staff positions. He was optimistic about one particular candidate for the Community Pastor role. A final meeting with this candidate was being scheduled.
