Minutes of the Board of Elders - October 1, 2014

October 22, 2014

A regular meeting of the elders of Harris Creek Baptist Church was called to order on October 1, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Brady Herbert, Bill Killian, Mark Welstead, P. Michael Smith, Brad Lail, and Bo Routh. In addition, Joey White, Executive Pastor, was in attendance.

Brad Lail led a devotional about contentment from Isaiah 26 and his story in becoming an educator, and opened the meeting in prayer.

The minutes of the September 17, 2014, meeting were approved as presented.

Joey White reviewed the church's financial reports for the month of September.

Joey White reviewed the proposed 2015 health insurance premiums for church staff. The proposed premiums reflect an increase of approximately four percent. For 2015 budget purposes, the elders approved keeping health insurance benefits for staff at current levels (i.e. church pays 100% of the employee premium, and 80% of spouse/dependent premium). The elders will continue to review and discuss other potential employee benefit options including retirement benefits, life insurance, etc.

Graham Cook led a discussion regarding the frequency and timing of future elder meetings. The elders decided that, beginning in January 2015, the elders will meet once per month on a Wednesday morning at 6:30 a.m. for a "tactical" meeting and prayer. The elders will also meet once every two months, in the evening time and for a longer period of time, for a "strategic" meeting, with extended prayer and fellowship.

Brady Herbert led a discussion concerning long range planning for personnel, office space, and facilities.

Brady Herbert provided an update concerning the elder selection process and upcoming meeting dates.

The needs of the body were discussed and the meeting closed in prayer.

MInutes of the Board of Elders - September 17, 2014

October 1, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on September 17, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Stefan LeRow, Brad Lail, P. Michael Smith, Mark Welstead, and Bo Routh. In addition, the following members of the church Executive Team staff were in attendance: Joey White, Drew Greenway, Galan Hughes, and Landon Collins (Interim Missions Pastor).

P. Michael Smith led a devotional about his story, the topic of worry from Luke 12:25, God's faithfulness and ever-presence, and opened the meeting in prayer.

The minutes of the September 3, 2014, meeting were approved as presented.

Joey White reviewed the proposed 2015 health insurance premiums for church staff. The proposed premiums reflect an increase of approximately four percent. No additional action was taken at this time.

Joey White reviewed the Generosity Audit Report prepared by Generis for the audit that was conducted on July 14, 2014.

Brady Herbert and Joey White led a discussion concerning long range planning for facilities and reviewed attendance statistics for recent worship services.

Brady Herbert reviewed proposed "Ministry Principles" and "Leadership Practices" prepared by the Executive Team. The elders approved the draft documents as presented.

The needs of the body were discussed and the meeting closed in prayer.

September 17, 2014

A regular meeting of the elders of Harris Creek Baptist Church was called to order on September 3, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, Mark Welstead, P. Michael Smith, Brad Lail, and Bo Routh. In addition, Joey White, Executive Pastor, was in attendance.

Bob Howard led a devotional about "sin and grace, desperation and deliverance," borrowing from the sermon series on the "Gospel According to Jonah," and his experiences growing up, and opened the meeting in prayer.

The minutes of the August 20, 2014, meeting were approved as presented.

Joey White reviewed the church's financial reports for the month of August.

Joey White presented the proposed lease for Turner's (721 Austin Avenue) that was negotiated by staff (with assistance from a real estate agent). The elders approved the proposed lease. [Because of potential conflicts of interest, Bo Routh abstained from voting on the specific proposal, but agrees with the overall strategy and course of action].

Brady Herbert led a discussion concerning church staffing/personnel changes involving the Missions Pastor, Youth Minister, and Associate Youth Minister positions.

Bo Routh provided an update regarding necessary clean-up revisions to the church Bylaws. Any amendment of the Bylaws requires approval by a three-fourths (3/4s) vote of the congregation.

Brady Herbert provided an update concerning the elder selection process and upcoming meeting dates.

The needs of the body were discussed and the meeting closed in prayer.

MInutes of the Board of Elders - August 20, 2014

September 5, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on August 20, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook (by telephone), Bob Howard, Brady Herbert, Stefan LeRow, Brad Lail, P. Michael Smith, Mark Welstead, and Bo Routh. In addition, the following members of the church Executive Team staff were in attendance: Drew Greenway, Galan Hughes, and Joey White.

Stefan LeRow led a devotional about his story and God's faithfulness from Hebrews 10:23, and opened the meeting in prayer.

The minutes of the August 6, 2014, meeting were approved as presented.

Joey White presented a list of prioritized church needs and possible uses for surplus funds at the end of the budget year. The elders discussed the list generally. No action was taken at this time.

Drew Greenway led a discussion concerning deacon stewardship.

Brady Herbert led a discussion concerning the third leadership development group that will meet with church staff and elders on a recurring basis over the next several months.

Brady Herbert provided an update concerning church staff generally.

Brady Herbert discussed the Fall Launch and the upcoming lunch meeting between Lance Witt and the elders on August 26, 2014.

The needs of the body were discussed and the meeting closed in prayer.

August 21, 2014

A regular meeting of the elders of Harris Creek Baptist Church was called to order on August 6, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, Mark Welstead, P. Michael Smith, Brad Lail (by telephone), and Bo Routh. In addition, Kelly Merritt, Finance Director, and Brice Sanders, intern, were in attendance.

Bill Killian led a devotional about the topic of family from Proverbs 18, and his experiences growing up, and opened the meeting in prayer.

Kelly Merritt reviewed the church's financial reports for the month of July.

The minutes of the July 16, 2014, meeting were approved as presented.

Brady Herbert led a discussion regarding space needs for the downtown campus and various options for renting space at the Hippodrome and Turner's (721 Austin Avenue). The elders approved a proposal for renting both locations, as prepared by the staff, subject to the negotiation of suitable lease agreements. [Because of potential conflicts of interest, Bo Routh abstained from voting on the specific proposal, but agrees with the overall strategy and course of action].

Brady Herbert provided an update regarding necessary clean-up revisions to the church Bylaws. The elders have requested that a group of existing and past elders, led by Chris Holmes, work on the proposed clean-up revisions to the Bylaws and present them to the elder Board for consideration by November 2014. Any amendment of the Bylaws requires approval by a three-fourths (3/4s) vote of the congregation.

Brady Herbert provided an update concerning church staff generally.

The elders discussed Lance Witt's next visit to the church and related suggestions from Lance regarding the Lead Pastor's schedule.

The needs of the body were discussed and the meeting closed in prayer.

MInutes of the Board of Elders - July 16, 2014

August 6, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on July 16, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, P. Michael Smith, Mark Welstead, and Bo Routh. In addition, the following members of the church Executive Team staff were in attendance: Drew Greenway, Galan Hughes, and Joey White.

Bo Routh led a devotional about strength/weakness from 1 Corinthians 1 and 2 Corinthians 12, and his experiences growing up, and opened the meeting in prayer.

The minutes of the July 2, 2014, meeting were approved as presented.

Graham Cook led a discussion regarding the selection of new elders and the process.

Brady Herbert led a preliminary discussion regarding necessary clean-up revisions to the church Bylaws. A group of existing elders and past elders will work on the proposed clean-up revisions to the Bylaws and will present them to the elder Board for consideration. Any amendment of the Bylaws requires approval by a three-fourths (3/4s) vote of the congregation.

Joey White led a discussion regarding Generis and preliminary feedback regarding the audit that Generis performed of the church. Generis will provide a written report to the church in the near future.

Brady Herbert discussed the need to reschedule Lance Witt's next visit to the church because of scheduling conflicts on August 19th.

The needs of the body were discussed and the meeting closed in prayer.
