MInutes of the Board of Elders - May 21, 2014

June 4, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on May 21, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, P. Michael Smith, Brad Lail, Mark Welstead, and Bo Routh. In addition, the following members of the church Executive Team staff were in attendance: Christin Peel, Drew Greenway, Galan Hughes, and Joey White.

Graham Cook led a devotional about "God as provider" and related faith impressions and experiences from his family growing up. During this next round of devotionals, the elders will each focus on faith impressions and a personal experience from early on that shaped our faith. Graham opened the meeting in prayer.

The minutes of the April 30, 2014, meeting were approved as presented.

Brady Herbert led a discussion regarding staffing adjustments, specifically Chelsey Anderson moving to 40 hours per week and working every Sunday. The elders approved this adjustment.

Joey White led a discussion concerning the church's multi-site efforts and reviewed a Leadership Network matrix concerning objectives, planning, and staff responsibilities for a multi-site environment at Harris Creek.

Joey White led a discussion regarding a proposal from Generis to perform an analysis of giving and giving potential at Harris Creek. The elders approved engaging Generis to perform the analysis and one day audit.

Brady Herbert led a discussion regarding the creation of an Ordination Team at Harris Creek that would be tasked with meeting with potential ordination candidates to discuss theology and related issues. The elders approved the creation of the Ordination Team comprised of Brady Herbert, Graham Cook, Bob Howard, Brad Lail, and Galan Hughes.

The needs of the body were discussed and the meeting closed in prayer.

MInutes of the Board of Elders - April 16, 2014

April 30, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on April 16, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, P. Michael Smith, Brad Lail, Mark Welstead, and Bo Routh. In addition, the following members of the church Executive Team staff were in attendance: Christin Peel, Drew Greenway, Galan Hughes, and Joey White.

P. Michael Smith led a devotional about "saints and semi-saints" from Finding God in Unexpected Places by Philip Yancey. He opened the meeting in prayer.

The minutes of the April 2, 2014, meeting were approved as presented.

Joey White led a discussion concerning the church's multi-site efforts, attendance statistics from the Sunwest Campus and the Downtown Campus, worship times, ministries, and related planning and staffing issues. The elders unanimously agreed that further efforts should be made to support and grow the Downtown Campus.

Bob Howard gave an update regarding New Beginnings House of Worship, a small new congregation in East Waco that Harris Creek is helping to sponsor as it seeks entry into the Waco Regional Baptist Association. A number of positive developments have occurred in this congregation over the past several months.

Brady Herbert gave an update concerning the first leadership development group that met with church staff and elders on a recurring basis over the past three months. The elders approved the creation of a second group to meet with church staff and elders over the next three months.

Brady Herbert gave an update concerning Leadership Network.

The needs of the body were discussed and the meeting closed in prayer.

April 30, 2014

A regular meeting of the elders of Harris Creek Baptist Church was called to order on April 2, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, Mark Welstead, P. Michael Smith, Brad Lail, and Bo Routh. In addition, Kelly Merritt, Finance Director, was in attendance for part of the meeting.

Bob Howard led a devotional about "creating value" from 2 Thessalonians 3 and opened the meeting in prayer.

Kelly Merritt reviewed the church's financial reports for the month of March.

The minutes of the March 19, 2014, meeting were approved as presented.

Brady Herbert led a discussion regarding the church's multi-site efforts, attendance statistics from the Sunwest Campus and the Downtown Campus, worship times, ministries, and related planning and staffing issues.

Brady Herbert led a discussion concerning Community Day and planning and budgeting for other upcoming events this year.

The needs of the body were discussed and the meeting closed in prayer.

April 17, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on March 19, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, P. Michael Smith, Brad Lail, and Bo Routh. In addition, the following members of the church Executive Team staff were in attendance: Joey White, Christin Peel, Drew Greenway, and Galan Hughes.

Brady Herbert led a devotional from Acts 15-17 and discussed an article in the Harvard Business Review. He opened the meeting in prayer.

The minutes of the March 5, 2014, meeting were approved as presented.

Joey White led a discussion concerning necessary repairs to the parking lot at the Sunwest Campus. The elders approved making the necessary repairs, including sealing cracks in the parking lot, in accordance with the written bid from Southwest Maintenance of Waco.

Brady Herbert led a discussion concerning worship services on Easter Sunday and the need to encourage more regular attenders to move to the 11:30 AM service, especially on Easter Sunday. The elders also discussed space needs and worship times generally.

Brady Herbert led a discussion regarding elder meeting dates in May. The elders decided to meet on April 30th (instead of May 7th) and May 21st.

The needs of the body were discussed and the meeting closed in prayer.

A regular meeting of the elders of Harris Creek Baptist Church was called to order on March 5, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, Mark Welstead, P. Michael Smith, Brad Lail, and Bo Routh. In addition, Kelly Merritt, Finance Director, was in attendance.

Kelly Merritt reviewed the church's financial reports for the month of February.

Stefan LeRow led a devotional regarding servant leadership from Philippians 2 and opened the meeting in prayer.

The minutes of the February 19, 2014, meeting were approved as presented.

The elders reviewed and discussed proposed nominations for new deacon candidates.

Brady Herbert and Kelly Merritt provided an update concerning proposals to repair or replace the church parking lot at the Sunwest Campus.

Brady Herbert gave an update concerning church members providing short reflections on certain topics during the Lenten season.

Brady Herbert provided an update concerning church staff generally.

The elders discussed planning for worship services on Easter Sunday and elder meeting dates in May.

The needs of the body were discussed and the meeting closed in prayer.

March 17, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on February 19, 2014, at 6:30 a.m. Graham Cook, Chair, presided. A quorum was present. In attendance were Graham Cook, Bill Killian, Stefan LeRow, Mark Welstead, Brad Lail, and Bo Routh. In addition, the following members of the church Executive Team staff were in attendance: Joey White, Drew Greenway, and Galan Hughes.

Bill Killian led a devotional from John 20 and opened the meeting in prayer.

The minutes of the February 5, 2014, meeting were approved as presented.

Joey White led a discussion regarding benevolence gifts and designated giving.

Joey White gave an update concerning an opportunity to help sponsor a small new congregation in East Waco, New Beginnings House of Worship, as it seeks entry into the Waco Regional Baptist Association.

Joey White led a discussion regarding updates to the employee handbook at Harris Creek, specifically the definition of full-time staff.

Joey White reviewed an analysis of giving trends at Harris Creek.

The needs of the body were discussed and the meeting closed in prayer.

March 17, 2014

A regular meeting of the Elders of Harris Creek Baptist Church was called to order on February 5, 2014, at 6:30 a.m. Bob Howard, Vice Chair, presided. A quorum was present. In attendance were Bob Howard, Brady Herbert, Bill Killian, Stefan LeRow, Mark Welstead, P. Michael Smith, Brad Lail, and Bo Routh. In addition, Joey White, Executive Pastor, and Kelly Merritt, Finance Director, were in attendance.

Kelly Merritt reviewed the church's financial reports for the month of January.

Bo Routh led a devotional from Acts 11 and opened the meeting in prayer.

The minutes of the January 22, 2014, meeting were approved as presented.

Joey White presented an analysis of employee benefits for church staff. After discussion, the elders unanimously approved a change to health insurance benefits for church staff for 2014 – authorizing the church to pay 100% of employee coverage and 80% of the cost of family/dependent coverage. This benefit is subject to change from time-to-time or year-to-year, depending upon changes in health insurance costs and other factors.

Bob Howard gave an update regarding a possible opportunity to sponsor a small new congregation in East Waco. Bob Howard will continue to assist in these discussions as the congregation seeks entry into the Waco Regional Baptist Association.

Brady Herbert gave an update concerning the creation of leadership development groups to meet with church staff and the elders on a recurring basis. This first group will begin meeting this month.

The needs of the body were discussed and the meeting closed in prayer.
